Health and Safety Protocols

AIAA continues to prioritize attendee health and safety for all in-person events. We are using guidance from federal, state, and local health departments, event health and security experts, and many others while continuing to monitor and evaluate the current landscape and recommended safety precautions for the 2025 AIAA SciTech Forum.

Event Format

Plenary and Forum 360 Sessions 
Plenary and Forum 360 sessions will occur in person and will be recorded.

Technical Sessions 
Technical sessions will consist of six 20-minute presentations with Q&A (approximately 15 minutes to present, 5 minutes of Q&A). Additional details on submission and publication are available on the Abstract Submission Process and Requirements webpage.

Presenter Requirements

  1. Submit a manuscript. Deadline: 2 December 2024, 8:00 p.m. ET. Please review this page for additional information on manuscript submissions.
  2. Register. All presenting authors will be required to register for the forum, attend their scheduled session, present, and be available for Q&A.
  3. Attend the technical papers session prep on the day of your presentation (7:30–8:00 a.m. ET in the room your session will take place in). You may use this time to upload your presentation and talk with the session chair and fellow presenters
  4. Attend the session: presenters must bring slides for use during their presentations.

Registration
How much is registration for the event? 
Please visit the registration page.

Do I need to register to present my paper? 
Yes, an author from a submitted manuscript will be expected to register and participate during their scheduled technical session. Should an author be unable to participate during the designated events for technical paper presenters, the manuscript will be withdrawn from the proceedings.

Who will have access to the conference proceedings? 
Full-forum registrants will have access to the conference proceedings. All other registration types (student and retiree) do not include access to the proceedings (publications), but there is an option to purchase proceedings separately.

Registration/Travel Stipends, Scholarships, or Assistance

Does AIAA accept volunteers in exchange for discounted or free registration?
No, AIAA does not utilize volunteers in exchange for registration discounts at our forums.

Does AIAA have travel stipends/scholarships available for students?
No, AIAA does not have travel stipends available. We recommend checking with your university department to see if funding is available.
