2019 Region II Student Conference 4 April - 5 April 2019 International Palms Resort and Conference Center, Cocoa Beach, Florida
The American Institute of Aeronautics and Astronautics (AIAA) sponsors student conferences in each AIAA Region as a means to encourage students in aerospace-related fields to discuss research, exchange knowledge, and generate interest in the field of aerospace engineering.
The AIAA Region II Student Conference is an opportunity for undergraduate and graduate students to present their research to their peers and professional members from industry. The students’ papers and presentations—in three categories: Undergraduate, Masters, and Undergraduate Team— will be judged and eligible for monetary prizes.

Freshman/Sophomore Open Topic Competition
The Freshman & Sophomore Open Topic category provides students an opportunity to experience participating in the paper competition without requiring the submissions to held to the level of depth of the technical paper competition.

This Call for Papers solicits papers for the 2019 AIAA Region II Student Conference.
The conference’s three categories—Undergraduate, Masters, and Undergraduate Team—each have three prizes that are funded by the AIAA Foundation. The prizes are as follows:
Prizes
- First place: $500 and a trip to the 2020 AIAA SciTech Forum in January, for one author
- Second Place: $300
- Third Place: $250

For the Regional Design Team Competition, the prizes are recognition for first, second, and third place teams.
Freshman/Sophomore Open Topic Competition

Category Descriptions
Undergraduate Category
For the undergraduate student category, no more than two student authors may prepare and/or present a paper at any AIAA student competition. Topics submitted may not be the same or a part of any project involving more than two students. Papers prepared jointly by an undergraduate and Master's student will be scored in the Master's category.
Masters Category
For the Master's student category, no more than two student authors may prepare and/or present a paper at any AIAA student competition. Topics submitted may not be the same or a part of any project involving more than two students. Papers prepared jointly by an undergraduate and Master's student will be scored in the Master's category.
Team Category
If three of more students were involved in the project effort, then the paper must be entered in the Team category. Team paper entries may be from a mix of both undergraduate and Master’s level participants.
Community Outreach Category
The Community Outreach category allows university students to describe activities where they have mentored students from Kindergarten to High School. Only one paper should be submitted for each outreach program at each student branch. This category of a 1-page talking-paper and 10 minute presentation.
Students are encouraged to participate with local design competitions at the high school level (MESA, NASA, Conrad Foundation, Real World Design, and others) to provide technical mentoring and role models for younger students. Other examples might include presenting talks to local K-12 students about design work/projects they are accomplishing as college engineering students. AIAA hopes to promote interaction between our student membership and K-12 students that stimulates students interest in pursuing an aerospace education and career.
- The Community Outreach category is open to all student members.
- This category requires a one page talking paper.
- The presentation of work will be limited to 10 minutes.
Freshman & Sophomore Open Topic Category
The Freshman & Sophomore Open Topic category provides students an opportunity to experience participating in the paper competition without requiring the submissions to held to the level of depth of the technical paper competition.
Freshman and Sophomore students are welcome to submit their work in the technical paper competition instead if they feel that their work is better suited for that category.
- The Open Topic category is open only to Freshman and Sophomores.
- Paper submissions need to follow the same formatting guidelines as the technical paper categories
(Submitting Documents). - The presentation of work will follow the same guidelines as the technical paper categories.
- No more than two student authors may prepare and/or present a paper in this category.
- Any engineering related topic will be acceptable for this category (including aerospace historical topics).
Regional Design Category
Teams in this category will only submit a letter of intent.
- Design teams are to consist of three or more students. These students may be any combination of graduate and undergraduate students.
- Any topic appropriate for engineering design is eligible for the design competition.
- Except by prior arrangement with the Judging Coordinator, ALL MEMBERS of the design team must attend the conference.
- A letter of intent to participate must be received by the Judging Coordinator. The Letter of Intent will be uploaded directly through the regional conference website. The letter of intent will be due the same date as the manuscripts are due for other categories.
- The letter must include the following:
- Each Student Branch is allowed to enter multiple design teams in the design competition. Student delegates should be limited to participate in only one design team. The conference reserves the right to ask a school that is bringing multiple design teams, to reduce that number if the need arises due to space or scheduling conflicts.

The 2019 AIAA Region II Student Conference will be hosted by the Florida Institute of Technology and Embry-Riddle Aeronautical University at the International Palms Resort and Conference Center in Cocoa Beach, Florida.
Hotel costs for professional members will not be paid for by the conference. Professional members will be included in the conference hotel room block but will need to pay the hotel directly for their room.
At conference registration, each delegate receives tickets for the events (luncheon, banquet, and field trip) which he or she chose on their registration form. There will be no reimbursal for transportation.
The hotel allotment is calculated by multiplying the number of school delegates staying in the hotel times the hotel allowance times three nights. This will cover the housing costs for Sunday, Monday, and Tuesday nights at the agreed hotel rate per night per person with four people per room. Each delegate is responsible directly to the hotel for the payment of his or her individual hotel bill (for incidentals).
The room rates for the 2019 Conference are $110.88 per night. The conference will be paying for the cost of the rooms on a master account. Each student will be expected to give the hotel a credit card number for incidentals during their stay (phone calls, room service, etc). The conference will pay $83.16 per student delegate in each room (or, 1/4 of the room). If you choose to stay with less than 4 people in a room, you will be required to pay for a portion of the room. This payment will be due to AIAA when you pay your registration fee. Faculty and Professional attendees will be required to pay 100% of their own room costs directly to the hotel.
